Do you have any timeframes & dates available that you were thinking of implementing for this year's awards Benoit?
When were you looking at officially starting the submissions stage - late November, early December or mid-December - and for how long?

Then, a team meeting to arrange internal organisation, two desks still open.
I do consider that end of this week website will be fully set with a firm schedule to be convenient for everyone around the globe, unique difference would be the use of GMT instead of PST.
In addition, in order to not frustrate people with "oh I missed it this year, can I enter my arts anyway", maybe a newsletter would be useful to remind people the running competition?

Just a suggestion: If you're going to use GMT, you may also want to post the times in a US time zone. Most people in the USA will scratch their heads seeing times in GMT -- and you'll probably get more "oh crap I missed the deadline" people in the USA. We are accustomed to converting time zones within the US (Pacific to Central or East, etc), but most of us probably don't know the conversion for our time zone to GMT off hand.
If Europeans found converting from PST to GMT confusing, you can probably expect the same to happen with US-folk if you use GMT rather than a US time zone. And perhaps this is a good idea moving forward -- all deadline times should be posted in both US and European understandable time zones. It makes sense for the main organizer to use their own time zone, but it would probably be immensely helpful to all involved if information were to be posted in formats that everyone can understand. We've already added rules in multiple languages, so why not also convert the times, too?
Also ... you might want to have someone review the english on the site. No offense, iceman, but I'm sure I'm not the only native english speaker who has a hard time understanding you (or at least gets a chuckle out of the way things read.... ).

I myself think that it would not be a good idea to abandon the use of the proven system that has been used successfully for the last several contests. I believe that it made it best for easy of uploading artwork, viewing and voting. Just cause there was a small dustup during the last contest is not a good enough reason to abandon it's use.
RS in it's current form still has several minor bugs that could hinder hosting a contest on it. Jason has been working on it but we all should understand that after taking 6 month off from real world work and income to rewrite and get the new version up and running that real life work must take priority.
Since the Beta awards are for the community I would make the suggestion that we have a pole to which the community would prefer to use.

The person who does the most impressive dance using the pole gets decide how the cel contest is held this year? I'd certainly participate in the voting for that particular event.

I agree that we should decide on this with a poll. If the majority wants to keep using Zerospace's code we should use it, it's more convenient for both organizers and contestants.

Setted up an operating structure approved in the past events in less than a week in order to keep the yearly award running in time. This RS structure was supposed to avoid new vote casting & counting claims and flamewar during a 2011 event. If Beta board members do prefer Zerospace's code in use, there is of course no problem at my side, but then unfortunally I do not have the time to check and fight with a code wrote by another person as each person owns its unique coding style, and not the will to rewrite a new one.
RS site is ready, staff under construction, and schedule is ready but not announced. Betarian people willing to go back to the scratch, a poll to decide the destiny, once again no problem as that does only represent for me an afternoon of work till now. But, I'll then not endorse the responsibility of any potential voting/counting issue and will let the COO desk free with the fridge full and coffee machine cleaned up with some extra Nespresso caps. Then, I'll ask to be hired by the new COO on the webdesign & award design desks as I done on last events

Guys, before you start any polls about whether to use zerospace's code or not, you really should ask her if she wants it used. There was a lot of ugliness in the last contest, and she ended up getting dragged into it just because she was gracious enough to let the board use her old code. From my understanding, she really doesn't want it used until it some issues are fixed--if she ever decides to fix them. Maybe we should ask her nicely? Hmmmm?
